Tasmanian Specialist Homelessness Services Data Collection

As you are hopefully aware, the current homelessness data collection (NDCA and SMART) will cease on 30 June 2011. It will be replaced by the enhanced Specialist Homelessness Services data collection and a new client management system.

Housing Tasmania is responsible for the Tasmanian implementation of the new collection and new client management system within all SHS agencies. To assist with communications as we reach the implementation phase of the project, Shelter Tasmania has agreed to provide this online resource of all communications, training plans and other project documentation.

Key messages to assist you in scheduling training for your staff:

  • If your agency is going to be using the new CMS then all your staff dealing with clients
    and/or data entry
    need to be trained in both Module 1 and Module 2
  • A staff member cannot do Modules 1 and 2 at the same time! – the modules are sequential. 
    For each staff member choose a session for Mod 1, and then a later day to do Mod 2
  • Add more rows to the Staff Nomination Form if needed
  • Once we receive your Staff Nomination Forms we will use your staff preferences to allocate placements and send a list back to you
  • Please check your allocated placement immediately and mark it in your calendar. If you are unable
    to attend the session allocated to you then please advise us immediately so we can re-allocate
    your placement to someone else, and allocate you to another session
  • Sessions will commence promptly at the advertised time. (Late arrivals will miss out on key contextual information). Tea and coffee will be available before the sessions commence
  • Preliminary reading will be sent out in advance and it will be assumed that staff have read
    the documentation

Client Information Form (CIF) – Parts A and B: The new forms are now compatible with the SHIP and allow client information be collected initially on paper before being transcribed into the SHIP, and provide greater supplementary information for referrals. Part A focuses on crisis assessment information, and Part B is structured for additional information, as relevant.
